1. Who we are
Viabig is an AI data annotation service operated by the founders named at viabig.com. Our registered place of operations is Punjab, India. When this policy says "we", "us", or "our", it means Viabig.
2. What data we collect
Contact & enquiry data. When you fill in a contact form, send us an email, or book a call, we collect your name, email address, company name, and any message you provide.
Project data. If you engage us for annotation work, you may share datasets, files, and related materials. This data is used solely to perform the services you have requested.
Usage data. We collect standard server logs (IP address, browser type, pages visited, timestamps) via our hosting provider (Google Firebase / Cloud Run). We do not run third-party analytics trackers (e.g. Google Analytics) on this site.
3. How we use your data
- To respond to enquiries and provide requested services.
- To fulfil annotation projects you commission.
- To send project-related updates (not marketing without your consent).
- To comply with legal obligations.
We do not sell, rent, or trade your personal data to third parties. We do not use client datasets to train our own models or for any purpose other than the contracted annotation task.
4. Legal basis (GDPR)
If you are in the European Economic Area, our lawful basis for processing is:
- Contract — when processing is necessary to deliver services you have requested.
- Legitimate interests — for responding to enquiries and improving our service.
- Consent — where we ask for it explicitly (e.g. marketing emails).
5. Data retention
Project data (datasets, annotation outputs) is deleted within 30 days of project close. We provide a written deletion certificate on request.
Contact data is retained for up to 2 years to manage our ongoing client relationship, then deleted.
Server logs are retained for up to 90 days by our hosting infrastructure.
6. Data security
Project data is encrypted in transit (TLS) and at rest (AES-256 via AWS S3 or equivalent). Access is restricted to the founding team members working on your project. We follow SOC2-aligned practices (we are not yet SOC2 certified and will not claim certification we do not hold).
7. Sub-processors and third parties
We use the following sub-processors in delivering our service:
- Google Firebase / Cloud Run — website hosting (Singapore region).
- AWS S3 — encrypted file storage for project data.
- Cal.com — call scheduling (you interact with these directly).
We do not share your data with any other third party without your explicit consent or unless required by law.
8. International transfers
Our team is based in India. If you are located in the EEA or UK, your data may be processed in India. We apply appropriate safeguards including standard contractual clauses and data processing agreements where required.
9. Your rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Request deletion of your data.
- Object to or restrict processing.
- Receive your data in a portable format.
- Withdraw consent at any time (without affecting prior processing).

10. Cookies
This website does not use advertising or tracking cookies. We use only technically necessary cookies set by our hosting provider for security and performance. No consent banner is required for these.
11. Changes to this policy
We may update this policy from time to time. The effective date at the top of this page will always reflect the most recent revision. For material changes, we will notify active clients by email.
